Summary of Duties
The Executive Administrative Assistant provides administrative support to the President/CEO, the Board of Directors and other members of the Executive Team. This position reports directly to the President/CEO. Specific duties include processing mail, preparing correspondence; draft letters, e-mail messages, spreadsheets, graphics; conducts transcriptions, develops PowerPoint presentations, coordinates travel arrangements, maintains and secures confidential/sensitive information, records at the very highest level within the organization, prepares Board Book content and serves as administrator, acts as Board Secretary, takes care of logistics for the board meetings, coordinates pay for Board of Directors, conducts activities related to the annual meeting, coordination of mass printing and mailing, preparation of the publication of advertisements, collects proxies, accurately maintains cash accounts for all Mutual Benefit Group companies, general ledger entries, accounts payable, payroll, administers corporate credit card program and performs other miscellaneous duties as assigned by the President/CEO.
Necessary Qualifications
Applicant must possess a general equivalency or high school diploma, associate degree or business school/administrative certification strongly preferred, superior verbal and written communication skills, ability to uphold a strict level of confidentiality, advanced Microsoft Office skills, with an ability to become familiar with company-specific programs and software, strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities, exceptional interpersonal skills and a minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management.
